CONTACTS AND RECORDS

A key aspect of society management in knowing your contacts and access to records well. You want to avoid situations in which you lose time because you did not know about x. y, z process or because you are waiting to hear back from someone who may not even be the right person!

In this Tab, you should be able to find:

  1. A list of updated contacts Societies can request assistance or support from within the DSU and around Dalhousie University.

  2. A list of important records that show you where your society is at (in terms of ratification, trained PEOs, Anti-Oppression Workbooks submitted, etc.)


DSU Contacts

Society Admin Support

As a ratified society, your main 3 supporting staff/Exec at the DSU are:

  1. The Vice-President Finance and Operations
    (for Audit and Finance concerns)

  2. The Vice-President Internal
    (for Admin, Policy, and Electoral concerns)

  3. The Societies Coordinator
    (for Events, Trainings, and General concerns).

Given that your society will be working frequently with these parties, it is strongly recommended to build a good working relationship with them. For anything outside of the scope of other contacts listed, you should be contacting dsuvpi@dal.ca since they act as the student Executive representing societies, and their portfolio/mandate is to you.

Beyond the main three (and their teams), other people in the DSU can most certainly assist and help! Our Offices are always looking for eager societies looking to collaborate with them on programming, events and  initiatives relating to their mandate.

  • NOTE: Before contacting the President, you should always aim to first bring SOCIETY concerns to the VP Internal. If you are contacting Jackie, please make sure you have already contacted the VP Finance or Financial Controller. If contacting Pat, please make sure you have already touched based with our Events and Conferences Team.

    NOTE 2: If you are a General Interest Society who is certified as an official “Sports Club”, one of your unique main support is the Sports Clubs Coordinator, sportsclubs@dal.ca Think of them as a mirror position of the Societies Coordinator, specifically there for Sports Clubs.

Society Records

Society Records - Ratifications 2024-2025

A “Society Ratification Record” is created based on the approved ratification application provided. Said records can be accessed using the Airtable below or through the website. In this Airtable, you can find key information about you and other societies such as:

  • A) Society Name.

  • B) Society Type.

  • C) Home Campus.

  • D) Ratification Status.

  • E) Society Purpose.

  • F) Main Contact Emails.

  • G) Society Socials.

NOTE 1: If there are any key changes in your society (i.e. new mailing address, new name, new Executive team members, etc.) you should aim to keep your record up to date. If you want to make any updates to your record, you can send these requests to dsuinternal@dal.ca.

NOTE 2: For this and all other public access Airtables, you can click “View Larger Version” so it’s on full display and “Download as CSV” if you’d rather skim through an Excel file.

Society Records - Past Ratified Societies (2017-onward)

If your society is ever curious about a record of ALL PREVIOUSLY approved and ratified societies, you can find them listed in this Airtable.

The DSU only started collected and organizing Airtable records for societies starting 2016-2017, so groups BEFORE that do not appear. If any Executive is interested in reviving an inactive group, you can touch base with the Coordinator, dsusocieties@dal.ca

Past Ratifications

Society Records - Primary Event Organizer (PEO) Certifications 2024-2025

Your PEO Certification needs to be up to date if your society hopes to continue to host events. If you are ever unsure about who is already trained in your society, whether we have processed your contract or whether we have received/approved your Quiz; you can find all certified PEOs for this year listed in the Airtable below.

NOTE: If you would like to act as a PEO for a society that you did not disclosed off at the time of signing your contract, please contact dsusocieties@dal.ca so they can updated your PEO Record and ensure you can represent all the groups you act as a PEO for.

Society Records - Anti-Oppression Certification 2024-2025

Your Anti-O Certification needs to be up to date if your society hopes to continue to be active after ratification. You have up to 3 months after your ratification application is approved to submit a Workbook. If you are unsure about whether this has already been provided to the DSU, you can always double-check below.

Society Records - Impact Awards Recipients

Dalhousie students are known for their academic excellence, but their achievements outside of the classroom are equally impressive. The Dalhousie Impact Awards is an annual event hosted by Dalhousie University in collaboration with the Dalhousie Student Union (DSU), to recognize outstanding individuals and student groups that impact our community.
