PEOs and Event Planning

 Welcome PEOs! This Portal should provide you with all the tools and information necessary to get your events approved and rooms booked.

Before you start, please remember all ratified societies looking to organize any type of events and programming (in or off-campus) are REQUIRED to meet the following 3 (THREE) criteria:

  1. Your society needs to have applied for and received full Ratification.

  2. Your society needs to have at least 1 (ONE) Executive certified with PEO Training.

  3. Your event must comply with PEO Guidelines as well as regulations outlined by Dalhousie, the DSU, and/or any booking party you are working with.

It is of utmost importance for societies to be meticulous with their Event Planning, as you always want to make sure: 1) Events are as safe as possible. 2) Your event falls under General Liability Insurance.


Understanding Event ID#s and Room Bookings

A key aspect of becoming an effective PEO is understanding when you need to submit a Risk Management Form and when you can skip it.

If a Risk Management Form is not required, it’s safe to assume you can proceed with contacting your booking party. Use the table below for reference:

Society Event Submissions
& Risk Management (via Bounce)

All Society event submissions and Risk Management Forms (RMFs) are now being processed through Bounce.

Only certified PEOs can submit events on behalf of their Society.

Before submitting think through your event’s Five Ws
Why, What, When, Where, Who — and review the Five Risk Areas covered in PEO Training: Alcohol, Hazing, Food, Group Transportation, and Physical Activity.

  • How to Set Up on Bounce

    1. Install the Bounce app.

    2. Create a personal profile (@dal.ca email).

    3. Search for your society Organization (society already set up and created on Bounce) and Request to Join.

    • Find you society on the DSU Association page here.

    1. Email dal.support@bouncedinc.com after requesting access so the team can assign Admin permissions.

    2. As an Admin, approve member requests and create RSVP/ticketed activities or events.

    • Pro-Tip: Add your Bounce organization to your club's Instagram/Linktree. 

  • You’ll now create your event page and Risk Management Form directly on Bounce. The submission steps differ depending on your event type:

    • Events in the SUB (Student Union Building)

    • On-campus (outside the SUB)

    • Off-campus

  • Once your RMF is submitted on Bounce:

    •  It will be reviewed by the Societies Coordinator within 1–4 weeks.

    • You’ll receive an approval email with your Event ID # and any next steps.

    • On-Campus: Use the Event ID # to finalize your campus booking.

    • Off-Campus: Once approved, you’re ready to go!

  • All event requests and Risk Management Forms (RMFs) must be submitted 2–4 weeks before the event date through Bounce to allow time for review and coordination.

    • if you submit less than 2 weeks before:
      Submissions with less than 2 weeks’ notice are considered late, Your event may not be approved until last minute which could hurt event promotion and planning

    • If you submit less than 1 week before:
      those with under 1 week’s notice can only be reviewed in exceptional cases with a valid reason emailed to dsusocieties@dal.ca at the time of submission.

    Please note that unfamiliarity with timelines or procedures isn’t a valid reason for late submissions — but if anything feels unclear, you’re always welcome to reach out for clarification in advance.

BOUNCE EVENT APPROVAL GUIDE

Booking Spaces

  • As previously explained, you will need your Event ID# to finalize the booking of your room if you are working with Dalhousie University.

    This is applicable to bookings through: CampusBookings (i.e. classrooms, auditoriums, lobbies, etc.), Athletics and Recreation (i.e. Dalplex, gymnasiums, studios, etc.) and locally managed spaces (i.e. Faculty Lounges, Faculty staff rooms, etc.)

    • If you are booking with CampusBookings:
      Go to https://campusbookings.dal.ca/ and log in using your Net ID and Password. Then, fill out a Request Form, and make sure it is under “Ratified Society”, Event ID# is included, and society details are shared. Someone from Campus Bookings (or the system) will be providing you with a response. 

    • If you are booking with Dalhousie Athletics and Recreation:
      To get your booking going, your society’s PEO just has to send a request email to reservations@dal.ca . In your email, make sure to mention the following: A) Society Name. B) PEO Name. C) Dates and Times. D) Preferred Location. E) Event Details. Someone from their Team will get in touch with you to discuss details!

  • The Student Union Building (SUB) is a great venue for society programming! The DSU Events and Conference Team will happily support you in your events, furthermore, the SUB is DSU jurisdiction and we follow different building policies, which allow for unique event planning opportunities!

    Tips for SUB Events from the Events and Conferences Team

    1. As outlined in the Society Policy, you have specific ratification benefits when booking rooms for programming at the SUB. These are the following (ancillary charges like custodial, catering, security, technical, equipment, etc. fees are not included):

    • 3.1.7. You can book meeting and conference spaces (i.e. Room 224, 302, 307, Council Chambers, etc.) FREE of booking charge ONCE PER WEEK subject to availability at the SUB.

    • 3.1.10. You can book the McInnes Room FREE of booking charge ONCE PER ACADEMIC YEAR subject to availability at the SUB.

    • 3.1.11. You can book tabling or a lobby kiosk (table and chairs provided) FREE of booking chare FOUR TIMES PER SEMESTER subject to availability at the SUB. Always be aware of SUB Operational Hours (listed on our website) and campus/SUB closures since these could affect your programming.

    3. For Posters and Flyers, please have them stamped at the Information Desk. After that, you can pin them in the bulletin boards on each floor! No glass, walls, or furniture surfaces!

    4. The Events and Conference Team can facilitate Tech Production (i.e.PA system, projectors, mics, etc.), Bar Services, Security, Catering, and provide specific equipment like coat hangers, whiteboards, easels for signage, etc. (subject to availability) among other services. Discuss event needs with the Team, and they will assess you. (Rates may vary apply)

    5. Events and Conferences advises you to do your room bookings AT LEAST 3 weeks in advance. For the McInness Room, booking 1-2 months in advance is preferred.

  • The Grawood and T-Room can provide great venues for high level programming, specially, if you require special functions, bar service, or food service!

    How to Book?

    To get your booking going, your society’s PEO just has to send a request email to either grawoodbooking@dal.ca , troom@dal.ca , or grawoodassistantmanager@dal.ca.

    In your email, mention the following:

    • Society Name.

    • PEO Name.

    • Dates and Times.

    • Preferred Bar

    • Event Details. Someone from the Bar Services Team will get in touch with you to discuss details further!

    Tips for Campus PUBs Events from the Bar Services Team

    • If booking either location on weekends: the minimum spend is $800 CAD. If not reached, the charge is $20/hour per bartender for a minimum of 3 hours with an additional service fee of 15% for total sales.

    • Drink tickets can be offered at either $6.00 or $8.00 CAD.

    • Societies must be able to send/facilitate relevant billing information (Void Cheque/Direct Deposit)

    • You can make the following tech requests (with NO associated costs): A) 1 Wired Mic. B) 1 Wireless Mic. C) 1 Projector + HDMI Plug-In (dongle for MacBook available). D) Ability to connect to sound system.

    • For anything outside what is explained here, you need to make your requests 2-weeks in advance to ensure: A) Your requests can be assessed and addressed. B) Have enough staff/inventory for your event.

    Tips for Grawood Events from the Bar Programming Team

    • Located on Studley Campus, and offers both: food service + drink/alcohol service.

    • There is NO cost associated with booking during regular hours: Monday to Friday, 11:30AM – 10:00PM

    • You can make the following event supply requests (with no associated costs): A) Labatt Prizes. B) Any printing needs (must be send one week in advance). C) BINGO Equipment (i.e. wheel, dabbers, etc.)

    Tips for T-Room Events from the Bar Programming Team

    • Located on Sexton Campus, and ONLY drink/alcohol service.

    • When contacting t-room@dal.ca you HAVE TO CC dsubars@dal.ca .

    • There is NO cost associated with booking during regular hours: Thursday to Friday, 1:00PM – 3:00PM

  • All societies looking to host events INSIDE a Residence Building are advised to connect/work with Residence Council Societies OR the Residence Rep on the DSU Council.

    If you are a Residence Council Society: Connect with your Residence Advisor and Residence Services, and they will help you book the location and with event logistics.

    If you are any other Society Type: Send an email to both dsusocieties@dal.ca and campusbookings@dal.ca outlining your event proposal and include the following details: A) Society Name. B) PEO Name. C) Booking Logistics (ideal/proposed Location, Date, Time, etc) and we will guide you from there!
